Let a local, Mom and Pop burger joint know there will likely be a crowd on the 1st day. Someplace close to the central meeting spot (the campgrounds?). Is this Friday/evening/night? This would be good for early arrivals as well as the late stragglers.

Saturday is the track day? Make that day track food day followed by dinner at a decent restraunt that would put-up with 10-30 XSives. If some don't want track day they can go for a ride to see your neck of the woods.

Sunday have a short ride to brekfast (30 min to 1 hour ride). After breakfast hit the road for some local scenery for a couple of hours. Mid afternoon return to the campground for you world famous burgers.

Sun night or Mon AM people head home (or stay longer if they wish). Some may want to arrive earlier than Fri or stay longer than Mon.

Try to keep the schedule flexable but have a core plan. Anyone wanting a rally Tshirt (or whatever souviner) should pre-pay before the rally so you don't have 3 cases of 2006 XS Brag and Drag shirts leftover. If you're giving prizes for the races make them small enough to pack on a loaded bike.

Another idea is have an address available in case someone wants to UPS their stuff (sleeping bag, tent, extra clothes) and not tote them on the bike.

It's good to have a truck and/or trailer available for severe breakdowns or (better not) crashes. Maybe let the local hospital ER Dept know that a bunch of middle-aged guys on 25 year-old musclebikes are going to be there that weekend and may need care.

(I think I already posted this)
If I'm able to attend I'll trailer my MNS behind my pick-up w/camper. That way I have a place to stay and a nekkid bike. Even though my E is faster and quicker I'd like to take the LG (heck, I could trailer the both of them). Only thing that might be different would be if SWMBO wanted to come too with her Virago (1100).

Pat is pretty much right on. I would add that you have two places to sleep, one camping (if anyone mentions it) and one motel for those like me who do not camp.
Eats and gas should be nearby so you can stop for breakfast and gas up with as close to one stop as possible.
You already have a day set aside for the track, so if you want a day for riding plan on no more than 200-230 miles. Gas stops for 30 bikes is more than an hour, lunch is more than an hour, you already took 2 hours for breakfast and gas, so you take a large part of the day out for those stops. Gas stops for the Specials should be 90 miles apart max.

No matter rain or shine, 4 lane or one lane, twisties or straightaways, creek crossings (yep did that a few times, maps can lie to you) or cow paths, I have never been to a bad rally. So don't worry about that.

        mucho grasseus

thats prety much what i was thinking. As far as slepping staying goes. the major corner is aprox 20 miles from track. It has EVERYTHING there, hotels, motels gas and every food place you can think of,Mc Burger K, arbys, resteruants ,all gas stations clark Shell Amcco etc.etc.hospital aprox 10 city blocks from there.I live within 30 my brother within 15 (hes got trailer tools etc. as do i.)i will be mapping out some rides and getting ahold of local detailed mapps for those that might not want to drag race and scout about on there own.
Now on to the goodies, there will be trophies for the drags and other lil" awards tallest being 14".(i was thinking of haveing to drag a 4 foot trophie home but thought better of it...lol) dash plaques will be free to ALL that attened and shirts will run 8 dollars apieace.(possibly 6 bucks if i can sweet talk the lady ) but as far as the other awards and such no charge. Hey if i can't make friends i'll buy em . Trust me the min i get the date it will be posted. But working hard for the first or sec weekend of Aug2006. stay tunned and ThanXS .

          new at this too

but i have planned MANY outings for large groups. may i suggest that, the first day, i wouldn't plan any meal earlier then dinner. folks are going to be coming from all over, and arrival times will vary greatly, even between when they plan on showing up and when they actually do. i think a mass cookout though is a cool idea, a lot less formal then everyone going to the same restaurant or whatever, (and kinder to the local restaurants) and better for meet and greet then everyone going their own ways.

i'm as up for a scenic country road as i am for the twists and turns of the mountains, so thats cool with me. i've never seen that part of the country anyway.

                  General Comment/accomodations

I'm tentively planning on attending this rally. Like a few others mentioned, I'd perfer to stay in a Hotel/Motel rather than camping.
Although we're in no hurry at this time and things are still in the planning stages; it WOULD be nice if those of us who were staying in a nearby hotel were all staying in the SAME hotel. So, my suggestion is to sometime list the nearby hotels that are available and perhaps those of us traveling could determine the one hotel/motel that we'd all like to stay in. That way we're not all so scattered out. Besides, maybe some of "Easterners" will be traveling together and leaving together and this would make things a bit more simple for us. It's just an idea and I hope you follow what I'm trying to say.
