Let a local, Mom and Pop burger joint know there will likely be a crowd on the 1st day. Someplace close to the central meeting spot (the campgrounds?). Is this Friday/evening/night? This would be good for early arrivals as well as the late stragglers.
Saturday is the track day? Make that day track food day followed by dinner at a decent restraunt that would put-up with 10-30 XSives. If some don't want track day they can go for a ride to see your neck of the woods.
Sunday have a short ride to brekfast (30 min to 1 hour ride). After breakfast hit the road for some local scenery for a couple of hours. Mid afternoon return to the campground for you world famous burgers.
Sun night or Mon AM people head home (or stay longer if they wish). Some may want to arrive earlier than Fri or stay longer than Mon.
Try to keep the schedule flexable but have a core plan. Anyone wanting a rally Tshirt (or whatever souviner) should pre-pay before the rally so you don't have 3 cases of 2006 XS Brag and Drag shirts leftover. If you're giving prizes for the races make them small enough to pack on a loaded bike.
Another idea is have an address available in case someone wants to UPS their stuff (sleeping bag, tent, extra clothes) and not tote them on the bike.
It's good to have a truck and/or trailer available for severe breakdowns or (better not) crashes. Maybe let the local hospital ER Dept know that a bunch of middle-aged guys on 25 year-old musclebikes are going to be there that weekend and may need care.

If I'm able to attend I'll trailer my MNS behind my pick-up w/camper. That way I have a place to stay and a nekkid bike. Even though my E is faster and quicker I'd like to take the LG (heck, I could trailer the both of them). Only thing that might be different would be if SWMBO wanted to come too with her Virago (1100).
